At the end of the academic year, we recommend that you review your published or shared forms for the start of your new academic year. For example, a form may need archiving or editing. You may even have additional forms to create.
How to Archive Old Forms
You may have some ‘Published Forms’ or ‘Shared Forms’ that have now expired which you’d like to archive. Archiving forms is a great way to keep a record of your forms, including any form responses but remove them from the ‘Published Forms’ or ‘Shared Forms’ areas. To archive a form, please see the instructions below:
1) Click on the Forms globe at the top of the page.
2) Find the form you would like to archive by either browsing to ‘My Published Forms’ or ‘Shared Forms’ under ‘Forms Management’ in the navigation pane on the left-hand side of the screen.
3) Click on the three dots in the top right corner of the form and select ‘Archive’
4) Click ‘Confirm’.
5) You can access any archived forms by opening the ‘Archived’ area under ‘Forms Management’ in the navigation pane on the left-hand side of the screen.
**IMPORTANT**
Please note that you will only be able to archive a form from the 'Shared Forms' area if you have been given the relevant permissions to manage the form.
How to Create a Copy of an Archived Form
You may have some forms that you have now archived, which you would like to copy and publish again to parents ready for the new academic year. To create a copy of an archived form, please see the instructions below:
1) Click on the Forms globe at the top of the page.
2) Browse to the ‘Archived’ area under ‘Forms Management’ in the navigation pane on the left-hand side of the screen.
3) Find the form you wish to copy, click the three dots in the top right corner and then click ‘Copy’. This will open a duplicate copy of the form in the ‘Form Editor’ window.
4) Make any changes to the form and once completed, click ‘Publish’.
5) In the ‘Publish Form’ wizard, complete the settings. You may want to consider turning on the ‘Form Availability’ so that you can schedule the form to be published to parents at the relevant time in the autumn term.
6) Don’t forget to add in staff permissions to allow other members of staff to be able to manage the form and view any responses (if required).
7) Once you have chosen your settings in the ‘Publish Form’ wizard, click ‘Finish’ followed by ‘Publish’.
8) Your form will then appear in the ‘My Published Forms’ area of the ‘Forms Management’ menu, which can be accessed via the navigation pane on the left-hand side of the screen.
